Camp Program Agreement
Charges and Payment
Full payment of the Program Fee is required upon submission of the Order Form for successful enrolment. Submitting the Order Form without making the actual payment will be considered an invalid enrollment.
Cancellation and Refund Policy
If the Participants desire to cancel the booking for any reason, it is required to provide a written cancellation notice to Green Camp. In the event that the Participants submit the Order Form and complete the payment after the cancellation deadline of the relevant term, any subsequent cancellation for that term, where the cancellation deadline has already lapsed, will be considered a late cancellation. Such late cancellations will be subject to the Refund Policy without exception. If a written cancellation notice is delivered to Green Camp during a holiday, it will be deemed received on the first day in session following the holiday.
The refund policy for the Program Fee is as follows:
- If the Participants provide adequate cancellation notice more than 45 days (inclusive) prior to the start date of the Booking Period, a refund of 50% of the paid fee can be refunded.
- No refund will be provided if the Participants provide cancellation notice less than 45 days (exclusive) before the start date of the Booking Period.
- If the Participants desire to change dates of their booking, it is required to provide a written notification to Green Camp more than 14 days (inclusive) prior to the original start date. Any changes of date less than 14 days (exclusive) to the original start date will be considered as cancelled with no refund.
- A full refund of the paid fee will be given if Green Camp cancels the Camp Program.
- If a Camp Participant arrives later than midnight on the first date, Green Camp reserves the right to decide whether to make arrangements for them to participate in subsequent activities. No refund is possible as all expenses have already been incurred.
Examples of Non-refundable Circumstances:
- Failure to attend Camp Program for any reason
- Temporary absences
- Any withdrawal prior to or within the first two consecutive days of the camp session
- Dismissal from camp
- Boycotting of camp by the Camp Participants
- Rebellion, riot or civil commotion
- Destruction of any camp facility due to any cause
In the event of force majeure or unavoidable events that affect the program schedule and for which Green Camp, its suppliers or subcontractors have performed reasonable duty of care before the start date of the Booking Period, the Green Camp Program may be cancelled or postponed upon mutual agreement between the Participants and Green Camp.
- In case of cancellation of the Green Camp Program, Green Camp shall refund all the paid fee.
- If the Green Camp Program is delayed, the increased cost shall be borne by the Participants and the reduced cost shall be refunded to the Participants.
Other Important Information
Each Party acknowledges and agrees that they shall be solely responsible for performing the Dependencies assigned in the Responsibility Matrix. This Order Form is subject to the Terms and Conditions set forth below. In the event of any inconsistency, the terms of this Order Form shall prevail.

Form of Acknowledgment & Assumption of Risk
1. Acknowledgment & Assumption of Risk
1.1 As a Camp Participant I acknowledge and agree to the following:
1.1.1 Engaging in Green Camp educational and adventure activities involves certain risks. Although Green Camp strives to provide appropriate equipment and skilled staff, I understand that there are risks, hazards and dangers associated with Green Camp that may cause injury, property damage, illness, mental or emotional trauma, disability or death. I understand that the Green Camp Staff will do everything in their power to maintain the safety of all participants.
1.1.2 Risks involved in physical activity: Green Camp activities include running, walking on uneven and slippery ground, encountering potential dangers associated with natural environments (e.g. certain flora and fauna), swimming in Subak, river and ocean, climbing, biking, and construction. Activities are not limited to these.
1.1.3 Equipment Risks: Equipment used in activities may break, fail or malfunction despite reasonable maintenance and use.
1.1.4 Risk regarding conduct: Risks include the potential that participants or third parties may act recklessly, carelessly or generally fail to exercise caution. Risk associated with travel: Travel can be by vehicle, bike, foot and raft and can be over rough and unpredictable terrain or rivers and potentially in adverse weather conditions.
1.1.5 There are other risks, hazards and dangers that may result in participants: (1) falling, (2) being struck, (3) colliding with objects or people, (4) vehicle collision, (5) reaction to weather conditions or physical exertion, (6) gastrointestinal complications. These and others may cause dehydration, heat exhaustion, sunstroke, drowning, broken bones, high fever, concussions, wounds, mental trauma, disability or death. I understand that the above description of risks is not complete and that other unknown or unanticipated risks may result in injury, damage, loss or death.
1.1.6 I have accurately completed the Green Camp Forms and have read and understood all information Green Camp has provided. I have no mental or physical problems or limitations that may affect my ability to participate in Green Camp activities which have not been disclosed. I represent I am fully capable of participating in these activities without causing harm to myself or others. My participation in Green Camp activities is purely voluntary and I choose to participate in spite of and with knowledge of risks. Therefore I and/or my parent assume and accept full responsibility for me, for both identified and not identified risks and injury, death, property loss or expenses.
2. Conclusion
I agree that all aspects of my relationship, including mediation of problems arising out of or relating to my enrolment or participation in Green Camp, are governed by Indonesian Law. I authorise Green Camp personnel to obtain or provide medical care for me/my child or to transport me/my child to a medical facility. I authorise Green Camp and medical personnel to render such treatment they deem necessary. I agree that Green Camp has no responsibility for medical care provided and I agree to pay all costs associated with such care and transport. I authorise Green Camp to use my or my child's photo for possible advertising or display. Parent(s) or Guardian(s) must sign for any participating minor (those under 18 years of age).
Green Camp Rules of Conduct
1. Introduction
1.1 In order to ensure that you can have a safe and enjoyable campsite experience, Green Camp requires all Camp Participants to observe the following Rules of Conduct.
1.2 Please, together with your parents, ensure that you understand and accept the requirements of the Rules of Conduct, and then sign the Acknowledgement together.
2. General Requirements
2.1 We expect that all Camp Participants will act with caution, consideration and responsibility.
3. Green Camp Facilitators
3.1 Our Facilitators will accompany you on the Program. You are required to respect and follow their decisions at all times. Should you have any doubt or difficulty, you are encouraged to seek help from your Facilitator or any of our staff members.
4. All Activities Are Compulsory
4.1 Each Camp Participant will be given a timetable of daily activities. You are required to attend courses, meetings and activities punctually. You are not permitted to be absent from any course or activity without special permission. If you are unable to attend due to illness, inform your Facilitator before the program starts. If you have any severe chronic or allergic disease, please notify us before the contract.
5. Food & Beverages
5.1 No outside food is to be brought into any GC Camp without Green Camp's prior consent.
5.2 Seasonal vegetables and fruits are locally sourced from our organic gardens. Meals are Indonesian and Western cuisine, mostly vegetarian. Green Camp is able to cater to a wide range of dietary restrictions and allergies (lactose intolerant, peanut free, vegan, etc.).
5.3 You must notify Green Camp of any food preferences or allergies as soon as possible and in any event on or before submitting the Order Form.
6. Alcohol, Drugs and Smoking
6.1 You are strictly prohibited from smoking, abusing drugs, drinking alcoholic beverages or bringing any contraband at all times. Should you break these terms, we may require you to leave the campsite and return home at your own expense. All costs incurred (including but not limited to airfare, transfer, and expenses for accompanying staff) will be your own responsibility.
7. Sharp Knives & Dangerous Items
7.1 You are strictly prohibited from bringing any sharp knives, weapons, or articles of a dangerous nature to the Program or campsite.
8. Lights Out
8.1 Students are not allowed to walk around the site without adult supervision after lights out, which shall be at 9:30 PM each night.
9. Curfew Hours
9.1 You are required to implement and observe the curfew hours specified at all times. If you leave your room without permission or fail to return during the curfew period, you shall bear all responsibilities for any losses and/or damages. Camp Participants must keep quiet from lights out until the collective wake-up prompt in the morning.
10. Theft
10.1 Theft is a serious offense that may result in criminal proceedings. You will be responsible for all related costs and legal liabilities.
11. Damage to Property
11.1 If you cause damage to any property or Green Camp accommodation, you are required to inform us immediately and compensate for the damage.
12. Violence, Bullying and Intimidation
12.1 We do not accept or tolerate any violence, bullying, intimidation or similar inappropriate behaviour. Should any Camp Participant break this rule, they may be sent back at their own expense and no refund will be given.
13. Etiquette
13.1 Please dress neatly and understand the local dress code at all times. Treat others with respect. Keep quiet when adults or other Camp Participants are speaking. Mobile phones and other objects must not be used during activities.
14. Leaving the Campsite
14.1 For your own safety, Participants are not allowed to leave the campsite without permission.
14.2 You are expected to travel with a group or a teacher leader during city visits. You are not allowed to travel alone — at least three people must accompany you.
14.3 Camp Participants are not allowed to walk away from the campsite without adult supervision, especially at night after lights out at 9:30 PM.
14.4 The boundaries of the GC Camp are: the security entrance gate, the Green School bridge towards the mud pit, and the back gate towards the mini field.
14.5 When walking around at night, always carry your own flashlight.
14.6 Be mindful of the path on the site — please avoid running.
14.7 No food to be stored in the yurt or lodge to avoid ants and other creatures.
14.8 We provide an overnight instructor in Yurt Village (1 person) and at The Lodge (1 person).
14.9 Registered nurses are available on-site and/or on-call.
14.10 Each GC Camp is plastic bag and single-use plastic bottle free. Please act accordingly.
14.11 No outside visitors are allowed to: (a) enter any GC Camp or site without Green Camp's consent and an appointment; or (b) take pictures or videos of any Camp Participants or GC Camp.
15. Accommodation
15.1 You are not allowed to enter another person's room without their express permission. Neither male nor female participants are allowed to enter each other's building without being escorted by a staff member. You will be informed of specific accommodation rules upon arrival.
16. Custody of Personal Property
16.1 You are responsible for your own belongings and cash. You are fully responsible for your belongings at all times. As a matter of principle, we do not recommend bringing valuables to the Program.
17. If You Break the Rules
17.1 If you break any of the above rules or put yourself or others in danger, we reserve the right to impose an appropriate penalty, including but not limited to warnings, informing your parents, claiming damages, and/or arranging for you to return home at your own expense. Any fees paid will not be refunded if you are sent back in advance. You and your parent shall also bear all expenses incurred, including airfare, transfer, and accompanying staff expenses. Any liability arising from your violation shall be borne solely by you and your parent.
Terms & Conditions
The following Terms and Conditions are attached to and constitute an integral part of the Order Form submitted by the Participants to Green Camp. Submission of the Order Form and completion of the payment of Program Fee imply the Participants' acknowledgement and agreement to be bound by these terms and conditions, which supersede any prior discussions, negotiations, or agreements between the Parties.
1. Term
1.1 This Agreement shall commence on the Agreement Date and shall automatically terminate upon the full performance or discharge of all obligations of the Parties.
2. Precedence
2.1 If there is any conflict, ambiguity or inconsistency between any parts of this Agreement, the following order of precedence shall apply: (i) the Order Form, (ii) the Annexes, and (iii) these Terms and Conditions.
3. Order Form
3.1 The Order Form shall, once accepted by both Parties, become binding and form part of this Agreement.
3.2 The Participants acknowledge that Green Camp may, in its sole discretion: (i) refuse to accept a Camp Participant or (ii) remove any Camp Participant from the Green Camp Program, where Green Camp believes that the Camp Participant is not physically or mentally able to complete the Program, or where it is required to protect the rights or property of Third Parties and/or Green Camp.
4. Green Camp Program
4.1 Subject to payment of the Charges, Green Camp shall use all reasonable efforts to operate the Green Camp Program in accordance with: (i) Applicable Law; (ii) Good Industry Practice; (iii) this Agreement; and (iv) the Green Camp Policies.
5. Responsibility Matrix
5.1 The Parties acknowledge that clarification of their respective responsibilities has been set out in the Responsibility Matrix.
5.2 Each Party represents and warrants that it shall fulfil its obligations under the Responsibility Matrix in accordance with all Applicable Law, this Agreement and the Green Camp Policies.
5.3 To the extent that Participants fail to perform their Dependencies, Green Camp will be relieved from the performance of related obligations and face no liability.
5.4 Each Party shall bear all costs incurred in connection with the performance of its Dependencies.
6. Community Co-operation
6.1 Participants acknowledge that attending a Green Camp Program may require each Camp Participant to interact and cooperate with Third Parties.
6.2 Participants shall ensure that no Camp Participants: (i) harass, abuse, threaten, embarrass, shame, or make personal attacks based on race, sexual orientation, religion, heritage or otherwise; or (ii) organise or participate in any activity that is harmful, hateful, racially or ethnically offensive, vulgar, threatening, bullying, defamatory, or otherwise objectionable.
6.3 Any breach of obligations under this Clause 6 shall be a Material Breach.
7. GC Emergency Protocol
7.1 In the event of an Emergency, Green Camp shall immediately implement the GC Emergency Protocol.
8. Information
8.1 Participants warrant that Green Camp may rely on all information supplied as being true and accurate. Participants shall fully co-operate with Green Camp and promptly provide such information and documentation as may be reasonably requested.
9. Green Camp Personnel
9.1 Green Camp shall ensure that all Personnel are suitably skilled, qualified and experienced; have received clear background checks in accordance with Good Industry Practice; and are employed under valid employment arrangements which comply with Applicable Law.
10. Participants' Key Contact
10.1 The Participants shall ensure the availability of Key Contact throughout the Booking Period and give advance notice if a Key Contact is unable to perform their obligations.
10.2 Green Camp may require the removal and/or replacement of any Key Contact who lacks appropriate skills or whose performance is deficient.
11. GC Camp Access
11.1 Green Camp shall provide each Camp Participant with access to the GC Camp as may be reasonably required for the Green Camp Program.
11.2 Each Camp Participant's access shall always be subject to: (i) access being solely for the purpose of participating in the Green Camp Program; (ii) compliance with all Green Camp Policies; (iii) proper identification prior to seeking access; (iv) not jeopardising the health and safety of any other person; and (v) acknowledgement that entry is entirely at their own risk.
11.3–11.5 If a Camp Participant fails to comply with any requirements, Green Camp may deny access or impose additional conditions. Any breach of obligations under this Clause 11 shall be a Material Breach.
12. Confidentiality
12.1–12.3 Each Party may only use the other Party's Confidential Information for the purposes of performing obligations under this Agreement and shall not disclose it to any Person other than an Authorised Recipient on a strictly 'need to know' basis.
13. Data Protection
13.1 Each Party shall comply at all times with all applicable data protection and privacy legislation, the GC Privacy Policy, and utilise adequate technical measures to safeguard Personal Information.
13.2 Participants authorise Green Camp to share any Personal Information with Third Parties in accordance with the GC Privacy Policy.
14. Payment
14.1 Participants will pay Green Camp the Charges as per the Payment Schedule set out in the Order Form.
14.2 All amounts shall be exclusive of all Taxes including VAT.
14.3 Each Party shall be responsible for paying its own bank charges.
14.4 In the event that Participants fail to fully pay any invoice when due, Green Camp may immediately terminate all or any part of this Agreement.
14.5 Participants will reimburse all reasonable costs incurred by Green Camp in connection with the collection of any overdue invoices.
14.6 Green Camp is entitled to set off any rights and claims it may have against any rights or claims of the Participants.
15. Additional Charges
15.1 Any Additional Charges incurred shall be payable by the Participants on demand.
16. Scope Changes
16.1 Once an Order Form has been accepted, Scope Changes are strictly subject to Green Camp's prior written approval and, if the change accommodates the Participants' request, payment of any additional fees.
16.2 Green Camp may at any time implement a Scope Change where required to address an Emergency, weather, safety of Camp Participants, Force Majeure, Applicable Law, maintenance requirements, or the business needs of Green Camp.
17. Warranties
17.1 Each Party warrants that it is duly authorised and has the legal capacity to enter into this Agreement.
17.2 The Participants warrant that each Camp Participant: (i) is in good physical condition; (ii) is not subject to any communicable disease or medical issue; (iii) will be able to participate in camp activities; (iv) will respect all religious beliefs and national/local customs; and (v) will abide by all Applicable Laws and Green Camp's facilitator guidelines.
18. Indemnified Matters
18.1 The Participants shall fully indemnify and hold Green Camp harmless from any Losses arising out of or in connection with: negligent acts or wilful misconduct by Camp Participants; physical loss or damage caused at any GC Camp; medical treatment applied to a Camp Participant; a Camp Participant being arrested, fined, detained or refused entry; failure to comply with the program itinerary; information provided by Participants being false or misleading; Green Camp relocating a Camp Participant who left the GC Camp without consent; or any death, personal injury or loss sustained by Green Camp's Personnel.
18.2 Each indemnity is a continuing obligation that survives termination of this Agreement.
19. Liability
19.1 Green Camp's total aggregate liability shall be limited to an amount equivalent to 100% of the Charges received under this Agreement.
19.2 No Party shall be liable for any delay or non-performance arising as a result of a Force Majeure Event, provided reasonable efforts were made to mitigate its impact.
19.3 Green Camp shall not be liable to the extent that any Claim or Loss occurred as a result of the Camp Participant's negligence, misconduct or fraudulent conduct.
19.4 The Participants acknowledge that they shall be jointly and severally liable for all actions and non-actions of each Camp Participant.
20. Property Damage
20.1 Participants accept liability for damage or loss to Green Camp's physical property and/or equipment caused by their actions or their Camp Participants. Claims for damage caused by Green Camp shall be calculated on a "replace as new" basis.
21. Risk & Handover
21.1 Participants bear all risk of injury, loss and/or delay to each Camp Participant until they are in the supervision of Green Camp at GC Camp.
21.2 If a Camp Participant is excluded from the Green Camp Program, responsibility for that Camp Participant shall immediately pass back to the Participants.
22. Insurance
22.1 Participants bear all risk of loss and/or damage to the Camp Participant and their property, except for when the Camp Participant is at the GC Camp during the Booking Period.
22.2 Participants shall ensure that every Camp Participant possesses travel insurance that includes coverage for medical expenses and emergency repatriation. An international emergency contact number should be submitted to Green Camp via email before the Booking Period commences.
22.3 Green Camp's insurance will cover all Camp Participants during travel from the GC Camp to off-site locations and the return to the GC Camp.
22.4 The insurance policies of independent contractors will cover Camp Participants for the duration spent at their sites including any travel organised by independent contractors.
23. Medical Consent
23.1 Participants acknowledge and consent to Medical Treatment being conducted, at Green Camp's reasonable discretion, to any Camp Participant to treat or prevent an Emergency.
24. Termination Rights
24.1 Either Party may terminate this Agreement or any Order Form with immediate effect if the other Party: (i) commits a Material Breach; (ii) is prevented from performing its obligations as a result of a Force Majeure Event for more than 30 days; or (iii) ceases to trade.
24.2 Green Camp may terminate with immediate effect if: (i) Camp Participants breach any Green Camp Policy; (ii) the Camp Participants experience or are reasonably likely to experience an Insolvency Event; or (iii) Camp Participants have failed to obtain and/or maintain any necessary approvals.
25. Termination Consequences
25.1 In the event of early termination for any reason, Participants may be liable to pay a cancellation fee in accordance with the GC Cancellation & Refund Policy. Any refunds payable will be strictly subject to the GC Cancellation & Refund Policy.
25.2 Upon termination, Participants shall immediately: (i) ensure the safety and relocation of Camp Participants at their own cost; (ii) return any items or equipment issued by Green Camp; (iii) take all possible action to mitigate liabilities arising from termination; and (iv) take any other action relating to termination as Green Camp may reasonably require.
25.3 Termination shall be without prejudice to the rights and remedies of either Party which may have accrued up to the date of termination.
25.4 Clauses 6, 7, 12, 13, 14, 15, 18, 19, 20, 21, 25, and 27 shall survive termination and/or expiry of this Agreement.
26. Intellectual Property Rights (IPR)
26.1 IPR owned by a Party prior to the Agreement Date shall remain the absolute property of the granting Party.
26.2 Participants hereby grant to Green Camp and its Affiliates a non-exclusive, perpetual, royalty-free licence to: (i) take photos, audio and/or video recordings of the Camp Participant participating in the Green Camp Program; and (ii) publish such materials to social media, advertising materials, information materials, investor packs, news, publications or internet sites as Green Camp may determine in its sole discretion.
27. General Provisions
27.1 Language: This Agreement is drawn up in the English language and the English version shall always prevail over any translation. This Agreement shall be construed, interpreted and administered in English.
27.2 Entire Agreement: This Agreement constitutes the entire agreement of the Parties relating to the provision of the Green Camp Program, to the exclusion of all other terms and conditions and any prior written or oral agreement between them.
27.3 Novation & Assignment: Green Camp may assign, novate, or otherwise transfer all or any of its rights, benefits or obligations under this Agreement without the prior written approval of the Participants.
27.4 Sub-contracting: Green Camp may sub-contract the performance of any of its obligations without the prior written approval of the Participants.
27.5 Variation: No variation of this Agreement shall be effective unless in writing and signed by each Party's Authorised Representative.
27.6 Illegality: If any provision is determined to be invalid, illegal or void by any court of competent jurisdiction, the rest of this Agreement shall remain in full force and effect.
27.7 Relationship: Nothing in this Agreement shall be construed to make either Party an agent, employee, franchisee, joint venturer or legal representative of the other Party.
27.8 Notices: Any notice given under or in connection with this Agreement shall be in writing and shall be delivered: (i) by hand to the Party's address; or (ii) by email to the Party's email address. The Parties' physical addresses are as set out in the Order Form.
27.9 Governing Law: This Agreement is governed by, and shall be construed in accordance with, the laws of the Republic of Indonesia. The Parties irrevocably submit to the exclusive jurisdiction of the courts of the Republic of Indonesia in relation to any disputes.
